About the Time Card Calculator

The Time Card Calculator adds up a full working week from Monday to Sunday. For each day you enter a clock-in time, a clock-out time and an unpaid break, and the calculator shows the hours for that day, the total for the week in hours and minutes and in decimal hours, and, if you enter an hourly rate, your regular pay, overtime pay and gross pay. It is a quick way to check a timesheet before you hand it in, to see whether a busy week tipped you into overtime, or to estimate a paycheck for part-time and shift work.

Days you did not work can stay blank and count as zero. Overnight shifts are supported on any day: if you clock out at an earlier time than you clocked in, the shift is assumed to end the next morning, and its hours count toward the day it started.

How to fill in your time card

Steps

  1. For each day you worked, pick the start and end time on the 24-hour clock and type the break in minutes.
  2. Leave days off empty. A day with only a start or only an end time is flagged so you can finish it.
  3. Optionally type your hourly rate to see pay. Leave it blank to see hours only.
  4. Press Clear to start a new week.

Overtime rule

Hours above 40 in the week count as overtime and are paid at 1.5 times the hourly rate. This matches the weekly overtime rule of the US Fair Labor Standards Act for non-exempt employees. Some states and countries also pay daily overtime or double time; this calculator applies the weekly rule only, so check your contract.

The pay formula

With HH the total hours in the week and rr the hourly rate:

gross pay=min⁡(H,40) r+max⁡(H−40,0)×1.5 r\text{gross pay} = \min(H, 40)\,r + \max(H - 40, 0) \times 1.5\,r

Each day's minutes are added first and converted to decimal hours only at the end, so rounding never builds up across the week.

Worked examples

  • A regular week: Monday to Friday from 09:00 to 17:30 with a 30 minute break is 8 hours a day and exactly 40 hours for the week, with no overtime.
  • A week with overtime: five days from 08:00 to 17:00 with no break is 45 hours. At 20 an hour, regular pay is 40 × 20 = 800.00, overtime is 5 × 20 × 1.5 = 150.00, and gross pay is 950.00.
  • Part time: three shifts of 4 h 15 min total 12 h 45 min, which is 12.75 decimal hours.

Tips for accurate timesheets

  • Record times as you go rather than at the end of the week.
  • Enter unpaid meal breaks only. Paid rest breaks are part of your hours.
  • Gross pay is before tax and deductions, so your take-home pay will be lower.

Frequently asked questions

How does the time card calculator total my week?

It works out each day's hours from the start time, end time and unpaid break, adds the minutes for all seven days, and shows the weekly total in hours and minutes and in decimal hours. Days left blank count as zero.

How is overtime calculated?

Hours above 40 in the week are overtime and are paid at 1.5 times the hourly rate, the weekly rule used in the US Fair Labor Standards Act for non-exempt workers. Daily overtime and double time rules that some states use are not applied.

What is gross pay?

Gross pay is your earnings before tax, social security and other deductions. It is regular hours times the rate plus overtime hours times 1.5 times the rate. Your take-home pay will be lower.

Do I have to enter an hourly rate?

No. Leave the rate blank to see hours only. Enter a rate of 0 or more to see regular pay, overtime pay and gross pay with two decimal places.

Can I enter an overnight shift on the time card?

Yes. If the end time is earlier than the start time, the shift is treated as ending the next morning, and its hours count on the day the shift started.

Is my timesheet saved?

No. Everything is calculated in your browser and nothing is uploaded or stored. Closing or reloading the page clears the time card, and the Clear button empties it at any time.
